The Academic Paper Submission Checklist: Is Your Research Ready to Submit?
After weeks or months of revising a manuscript, clicking “Submit” can feel like the simplest part of the process. Yet this is exactly when small problems tend to surface: a reference is missing, a figure has the wrong label, or the abstract no longer matches the final results. A pre-submission check is not another round of rewriting. It is a final review to make sure the manuscript—and everything that accompanies it—is actually ready for the journal.
Start with the Journal Requirements
Before checking individual sentences, open the journal’s current “Instructions for Authors.” Requirements vary more than many researchers expect, even between journals from the same publisher.
Confirm the article type, word limits, required sections, reference style, and rules for tables and figures. Also check whether the journal requires anonymization for peer review or separate files for the title page, supplementary material, or declarations.
This step may seem administrative, but it can save considerable time. A strong paper submitted in the wrong format may still need to be returned for technical corrections before editorial review begins.
Check the Manuscript Itself
Start with the title and abstract. The title should accurately represent the study without promising more than the paper delivers. The abstract deserves particular attention because it may be the first—and sometimes only—part of the manuscript that an editor reads closely before deciding whether the paper should move forward.
Make sure the abstract reflects the final version of the study. If results or conclusions changed during revision, check that those changes also appear there. Stay within the journal’s word limit.
Then read the main text with consistency in mind: Methods, Results, and Discussion should tell the same story. Look for terminology that changes halfway through the paper, abbreviations that were never defined, repeated explanations, and conclusions that go beyond the evidence presented.
This is also the right moment for a final language check. Focus on clarity, grammar, academic tone, and sentences that require unnecessary effort to understand. The goal is not to start rewriting the paper again. It is to remove anything that may distract from the research.

Give References, Figures, and Tables Their Own Review
References are easy to overlook because they often sit outside the main writing process. Check that every in-text citation has a corresponding entry in the reference list and that every listed source is actually cited. Names, publication years, titles, DOIs, and other bibliographic details should be verified rather than assumed to be correct.
Figures and tables need the same attention. Their numbering should match the order in which they appear in the manuscript, captions should be understandable, and every figure or table should be mentioned in the text. Check image quality as well; a figure that looks fine on your screen may not meet the journal’s technical requirements.
Avoid unnecessary duplication. If a table already communicates a set of results clearly, repeating all of those numbers in the text rarely helps the reader.
Do the Final Submission Check
The paper itself may be finished, but the submission package may not be.
Confirm author names, affiliations, and corresponding-author details. Check funding information, conflicts of interest, ethics statements, data availability statements, or other declarations required by the journal. Depending on the publication, you may also need a cover letter, reporting-guideline checklist, supplementary data, or additional forms.
Before uploading anything, open every file one last time. File names such as manuscript_final, manuscript_final2, and manuscript_FINAL_revised are an easy way to send the wrong version.
Make sure all authors have also reviewed and approved the version being submitted.
Final Pre-Submission Checklist
Use this final check before clicking Submit:
● Does the manuscript follow the journal’s current author guidelines?
● Is the abstract accurate and within the required word count?
● Does every citation match an entry in the reference list?
● Have the references been checked for accuracy?
● Are figures and tables numbered, cited, and readable?
● Is terminology consistent throughout the manuscript?
● Has the paper received a final language and clarity review?
● Are all required declarations and supplementary materials included?
● Have all authors approved the final manuscript?
● Are you uploading the correct versions of every file?
Being ready to submit does not mean continuing to revise indefinitely. At some point, the research and writing are complete. The final task is simply to make sure preventable technical, language, or documentation problems do not stand between the manuscript and peer review.
A systematic final check takes far less time than correcting an incomplete submission later—and makes clicking “Submit” considerably easier.
